Our approach to communication and reporting
When people think about agencies, they often focus on the technical side of the work - SEO, PPC, or campaign execution. In our experience, the way an agency communicates with its clients is just as important. It’s an area we’ve invested in over the years because clear communication makes every project easier to run and more likely to succeed.
A frustration we hear from clients who’ve worked with other agencies is that they never really knew what was happening on their project. Another common story is that they met senior people in the sales process, only to be handed over to juniors once the work began. We’ve built our approach to avoid both problems. We take the front foot so that clarity is never in doubt, and because we don’t have juniors in our team, every client gets consistent, experienced communication from start to finish.
Weekly updates
Each week we send a short email that sets out what was delivered last week, what’s scheduled for the coming week, and any questions or roadblocks that need attention. The aim is to give you a clear picture of where things stand without adding unnecessary admin.
Monthly rhythm
At the start of each month, we share a structured review of performance and completed work. The format is straightforward and flexible – the important part is that you get clarity on results and progress without being left guessing.
Quarterly reviews
Every quarter, we hold a review session that looks back on performance against KPIs and milestones, and sets out deliverables for the next quarter. It’s a chance to zoom out from the week-to-week detail and make sure the bigger picture stays on track.
Regular check-ins
Alongside reporting, many clients prefer a monthly check-in call. These are organised as part of onboarding and shaped around the needs of the stakeholders involved. They create space for open conversation without waiting for a formal review.
Ad hoc communication
We aim to respond to ad hoc requests on the same day. If something is business critical, it goes directly to senior management for immediate action. Urgent issues are handled quickly while protecting time for the deeper work that drives results.
Why this matters
Our goal with communication is simple - it makes everyone’s job easier. You know exactly where you stand, and our team can prioritise effectively. Nothing gets lost in the process.
We’ve spent years refining this approach, including time on the Team Sterka programme, which helped us strengthen how we collaborate internally and with clients. The result is a structure that’s reliable, consistent, and designed to keep projects moving forward.
